Senior Administrative AssistantOur client, a leading Pacific Northwest utility provider committed to public service and environmental preservation, is looking for an Administrative Services Assistant with experience in providing administrative support for programs, projects and overall office functions for their Vancouver, Washington location. This person provides a wide variety of professional and confidential administrative/clerical tasks as well as data entry and tracking. Additionally, this position may act as the Administrative Team Lead, providing knowledge, motivation, and leadership to other admin team members. Our ideal candidate is someone who is self-directed, has the ability to maneuver through shifting priorities and deadlines, and detail-oriented.This position is a one-year contract with the opportunity to renew on an annual basis. Location: Vancouver, Washington Pay: $30.46, DOE Responsibilities of Senior Administrative Assistant:Greet and screen visitors; address questions, takemessages, set appointments, or refer visitors.Create, draft, edit, and proof documents, correspondence, and presentations using MS Office Suite and Adobe Acrobat.Establish, maintain, and administer SharePoint organization, team and other meeting/project sites including setting up document repositories, calendars, workspaces, and tracking lists. Assist with content and permissions.Build, maintain and post Excel spreadsheets and PowerPoint presentations to SharePoint sites. Attend meetings, record minutes, transcribe and disseminate as needed.Maintain a tracking system of action items to verify timely compliance with scheduled responses or actions. Alert manager of any concerns or response delays.Establish and maintain internal and external communication channels to coordinate smooth flow of information and positive working relationships. Proactively organize, plan, prioritize, coordinate, and verify managers' daily Outlook calendars and schedules including commitments of time.Register, schedule and arrange meetings, conferences, and training, including associated logistics and any necessary equipment and materials (securing rooms, phone bridges, projection equipment, etc.).Verify completion of all required training for employees and managers by communicating what training is due, how to obtain training, submitting external training requests, and tracking training completion status.Complete appropriate new employee on-boarding activities and retirement documentation.Arrange travel (domestic and foreign), such as airline arrangements, hotel accommodations, and rental car and shuttle reservations.May coordinate or assist with organizational and events such as: presentations, retirements, project, or employee recognition celebrations.Serve as Administrative Team LeadCoordinate with and provide administrative guidance to lower-level contract support personnel; may delegate assignments to lower-level contract administrative personnel at the request of the manager.Lead and coordinate team meetings and establish and maintain internal and external communication channels to coordinate smooth flow of information and positive working relationships inside and outside of the organization. Assist organizational managers with Sunflower inventory data entry and maintenance for tracked personal property items.Requirements of Senior Administrative Assistant: High school diploma or equivalent is required.Associates Degree in Secretarial Science, Administrative Management or related field is preferred.6+ years of demonstrated administrative/clerical experience is required.4+ years in administrative support functions with Microsoft Office Suite programs such as Word, PowerPoint, Excel, and Outlook (Microsoft Office 2010 proficiency required).
