Job Details Description SUMMARY Provides reception/phone support to the Riverview Corporate offices. While maintaining a positive, professional and business appearance and demeanor at all times, this position also provides administrative support. In addition to data entry, provides clerical support, coordinates meeting and conference rooms, works on special projects and answers assigned routine correspondence. May work with highly confidential and sensitive information, and must maintain a high level of integrity and confidentiality at all times. Deals with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization. ESSENTIAL DUTIES AND RESPONSIBILITIES: Represent Riverview in a professional manner while greeting internal and external customers in person and over the telephone respectfully and in a positive manner. Routes incoming calls to the appropriate department/personnel. Monitors performance of telephone system and reports problems to IT Department. Provide excellent customer service to all internal and external customers. Process Notary Public renewals and new requests for Riverview notaries. Order supplies, bonds and stamps, process check requests and maintain records for Riverview Notaries. Order supplies for departments as needed or requested by personnel. Complete monthly alarm system and defibrillator testing. Maintain and update MSDS manual. Complete various administrative assignments (i.e. compose letters, set up and maintain filing system, perform copying, scanning and data entry). Processes correspondence, files, copying, and other various administrative assignments. Assists staff from various departments with special projects as authorized by Supervisor. Attendance is critical, as this is the front office position for greeting clients and customers. Participate in and complete training objectives with passing scores. Follow all Riverview policies and procedures. Additional duties as assigned. RELATIONSHIPS Daily contact with Supervisor to receive direction and interpretation of new and existing procedures. Daily contact with customers and prospective customers in routing incoming calls and providing assistance in the receiving area. Daily contact with co-workers. QUALIFICATIONS To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. EDUCATION and/or EXPERIENCE High School Diploma or GED Equivalent and 2 years related experience. SKILLS Ability to read and interpret documents such as operating and maintenance instructions and procedure manuals. Ability to write routine reports and correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization in a professional manner. Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent. Ability to exercise excellent judgment in problem solving. Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations. Requires the basic skills associated with the general use of computers and other business office equipment. Must be proficient in Microsoft Office software. Requires excellent organization, attention to detail, and prioritizing ability. The ability to offer flexibility in a changing work environment is imperative. PHYSICAL DEMANDS The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel; reach with hands and arms; and talk or hear. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision and color vision in computer work, and peripheral vision in observing customers and other employees to maintain an awareness of general activities in the receiving area. WORK ENVIRONMENT The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. While performing the duties of this job, the employee is occasionally exposed to risk of electrical shock in working with standard office equipment. The noise level in the work environment is usually moderate.
