Job Description:

Overview:The Facilities and Administration Manager is responsible for supporting the efficient and effective day-to-day use of corporate and regional office spaces, reception, and procurement.Responsibilities:Manage the day-to-day facilities of the corporate and regional offices to ensure systems are operating in an efficient manner (i.e., HVAC, elevators, etc.).Plan and coordinate ongoing maintenance, remodels, and necessary buildouts and repairs of corporate and regional offices, including vendor selection, contractor supervision, validation of work completed, and invoice review/approval to ensure timely payment.Adhere to and manage corporate and regional facilities budgets. Maintain leases and renewals of properties, equipment, and services.Manage national facilities vendor account performance and maintain a high-level of service.Negotiate the best possible rate with office equipment and service vendors and make recommendations for change to best support the company (i.e., FedEx, Staples, Copytronix, etc.).Maintain updated space allocation, mapping, and office signage for all corporate and regional offices, including parking areas.Manage key and FOB access and assignment.Coordinate office, conference rooms, and common area equipment, d-- -cor needs, including maintenance, and seasonal updates.Ensure efficient and effective communication of vital information regarding corporate and regional office spaces, as needed.Ensure corporate and regional office security and adherence with state and federal regulations, including energy standards and management.Provide management and mentorship to full-time Receptionist, ensuring operations of front desk support the business as required.Provide management and mentorship to full-time Procurement staff, ensuring logistics of supply orders supporting the business as required and make recommendations for continued improvement.Maintain a positive relationship with all staff and vendor partners to ensure excellent customer service.Provide planning and communication support for company-wide events.Represent Holland Partner Group in a professional manner at all times.Perform all other duties as directed and assist the overall team effort in any way possible.Qualifications:Education: High School Diploma or equivalent is required. Bachelor's degree in business, or related field, preferred.Experience: 3-5 years' experience overseeing and/or supporting business and office operations required. Supervisory experience required.Knowledge, Skills and Abilities Required:Knowledge of basic accounting functions.Competency in Microsoft Office.Ability to accurately perform multiple tasks in a complex and fast-paced operating environment.Ability to build internal and external business relationships.Ability to maintain a high level of confidentiality of sensitive documents and information.Strong verbal and written communication skills.Skilled at meeting deadlines, milestones, and deliverables.Proficient organizational and interpersonal skills.Effective teamwork and interpersonal skills.Ability to work effectively with all levels of individuals while inspiring respect and credibility.Demonstrate and display honesty, integrity and personal accountability. Must be proactive, flexible, responsible and resourceful.Ability to maintain high level of confidentialitySkilled in verbal and written communication.Attendance: This full-time position is exempt and requires the ability to be present and available during business hours to meet company and department needs.
