This administrative position will be an essential part of a technical team for our client who is a top of the line software, hardware, and R&D company. The Technical Department Admin position offers normal working hours and comprehensive benefits at an onsite client location in Vancouver, WA.


Provide clerical, logistical, and ordering support for a medium to large team. This includes:

* Calendar Maintenance / meeting Coordination: scheduling appointments, team quarterly reviews and resolving conflicts, conference/ Halo room reservations * Track budget expenses * Travel arrangements (domestic/international) and prepare itineraries * Completing / submitting visa applications for Director and team international travel * Complete / submit expense reports * Create / submit purchase orders * Logistics for off-site meetings including catering * Create requisitions for positions * Schedule job candidate travel and interviews * Onboard new employees including order computer, accessories, supplies, workspace, telephone, email * Assist manager in obtaining information from team * Order and maintain office supplies / ink * Assist team members to schedule meetings, answer general questions regarding HP processes (expenses, travel) * Keep organizational charts current * Assist other assistant and executives as needed * Prepare shipping documents * Resolve billing problems with vendors * Create survey and gather information for FPRs * Collect relocation information from team and submit to Move Champion * Order Life Event gifts * Record retention coordinator * Collect and organize individual strength survey results * Submit Get IT tickets to resolve issues * Track team completion of required training


* Strong written, verbal, and interpersonal communication skills required with the ability to effectively communicate with varied levels of employees. * Ability to work independently and with a team. * Strong attention to detail with ability to follow detailed directions. * At minimum, basic user knowledge and experience with PC's including Microsoft Office products like Word, Excel, and Access with comfortability navigating and viewing web pages. * Ability to navigate ordering items, buying plane tickets, etc. online * Ability to learn and use company web portals and proprietary software to generate IT tickets, track spending, etc. * Minimum educational level expectation is a high school diploma or has passed GED (General Educational Development) examinations. 2-year Technical/college diploma preferred. On-the-job work experience and job skills training in lieu of a 2-Year college diploma is acceptable. * Prior work experience in a coordinator/admin role is preferred. The work experience can be waived/reduced depending on education qualifications, skillset, industry standard certifications or other related industry work experience.
