Job Description:

General ResponsibilitiesConfident, dependable and skilled professional that works directly with superintendent, the executive assistant provides confidential administrative assistance and organizational support to the superintendent's office and ESD 112 Board of Directors. Must have strong written and oral communication skills, exercise independent judgment, and demonstrate the ability to act as a liaison to the ESD executive leadership team.This position will be full time, year round and is open until filled with applications received by January 10, 2022 receiving first consideration. Essential Functions/Other FunctionsEssential Functions:

  • Develop and implement a system to manage the superintendent's calendar, email and participation in a variety of activities.
  • Provide complex administrative support for the ESD 112 Board of Directors to include: planning and attending Board meetings, public hearings and events; maintaining meeting minutes, legal notices, and correspondence.
  • Plan and manage internal and external superintendent, ESD 112 Board of Directors, and agency events.
  • Serve as liaison between the superintendent and the executive leadership team, regional superintendents, and local professional organizations, governmental and community boards and committees.
  • Plan, coordinate, attend and take minutes of agency, regional superintendent and state network meetings.
  • Serve as primary contact to ESD 112 Board members and respond to inquiries from the public and other agencies on behalf of the Board as directed by the Board and ESD 112 Superintendent.
  • Create, compose and /or prepare complex correspondence and presentation materials.
  • Support the superintendent's participation in state and local professional organizations and governmental and community boards and committees.
  • Process fiscal information including travel, purchasing, reimbursements, and accounts payable.
  • Develop strong working relationships and respond to inquries from ESD staff, school district personnel, government officials, community leaders, and other ESD stakeholders.
  • Supervise and evaluate support staff.Other Functions:
  • Provide complex administrative support to Financial Advisory Services Department.
  • Serve as a member of the Administrative Assistant Leadership Team and other agency committees as requested.
  • Maintain professional and technical knowledge by attending educational workshops, reviewing professional publications and networking with colleagues.
  • Other duties as assigned.Minimum/Preferred Qualifications & SkillsMinimum Qualifications:
  • Bachelor's degree and three years of experience providing administrative support to a senior administrator or Associate's degree and five years of experience providing administrative support to a senior administrator; or high school diploma/GED and seven years of experience providing administrative support to a senior school diploma/GED and seven years of experience providing administrative support to a senior administrator.
  • Experience managing complex schedule of senior administrator.
  • Experience providing support to a Board of Directors.
  • Event management experience.Preferred Qualifications:
  • Experience as an executive assistant to a CEO (or equivalent title) of a large organization.
  • Experience working in an educational or non-profit environment.Working Conditions/Employment RequirementsWorking Conditions:
  • Office environment.
  • Extended or flexible hours as necessary, including occasional evenings or weekends.Employment Requirements:
  • Successful completion of a criminal history and fingerprint check through the Washington State Patrol and FBI.
