Overview Description:

  • This contract Project Coordinator II position will provide project coordination for the Transmission (T) Product Management & Marketing Analysis (TSBM) organization at our client.
  • TSBM designs and monitors the performance of products and services consistent with customer needs and the intent of the Open Access Transmission Tariff (OATT), analyzes and facilitates implementation of the business practices and policies associated with the marketing and sale of Transmission and ancillary services, as governed by the OATT and other contracts.
  • This position will provide project support for the development and monitoring of products and services; and, for the review and development of policies that apply principles of the OATT, and support the development and improvement of Business Practices.
  • This position will support tracking and monitoring the progress of projects, providing ongoing, updated information and dates for assigned Product and/or Project Managers; coordinating and facilitating project communications and change management materials; and, providing SharePoint and data steward expertise.
    Organization and Culture:
    • TSBM leads the management, analysis, and development of electricity transmission products; and, provides market research on business fundamentals driving sales of transmission products and services, impacts on customers' needs, and product objectives and performance.
    • This group also conducts in-depth customer needs assessments based on segmentation analysis and identifies target markets, and market sizing and retirement analyses for existing and new products.
    • Major Product Management activities include evaluations of ongoing product performance relative to product objectives such as financial, customer value, and market evolutions, coordination of new product development, the evolution of existing products, and the retirement of products.
    • Market Analysis focuses on business fundamentals that drive those product activities.
    • Fundamentals include sales and utilization of transmission products and services.
    • They also incorporate regional and national trends and developments and competitive analyses to assess product vulnerability and the need for change.
    • In concert with our client Corporate and Power analysts, the Market Analysts also track technology innovations and political and regulatory evolutions.
      Position Responsibilities:
      • Project Tracking and support:
      • Assist in the creation and monitoring of project schedules at the request of the product or project manager.
      • Monitor project milestones and schedules to keep the project(s) on track.
      • Track and monitor project milestone schedules and dates using various or applicable reporting tools.
      • Draft and prepare product delivery status report.
      • Schedule and facilitate team meetings.
      • Provide documentation for action items and decisions made during meetings.
      • Facilitate resource commitments from other groups as required.
      • Track and follow up on action items assigned to and by the Product or Project Manager.
      • Track and follow up on action items assigned to and by the manager or product or project manager. Know whom to contact when action items are complete and subsequent action can begin.
      • Track and maintain project-related documents (on workspace and otherwise). These documents may come from the manager or product or project manager or may come from other team members or outside agencies or systems. Confirm dates and decisions on documents known to change frequently and update static documents regularly so the most current information is available.
      • Coordinate information and status updates with/from the project team and distribute them to team members needing the updated information.
      • Monitor progress of assigned projects to track and coordinate change management requirements, timelines, milestones, deadlines, deliverables standards, and targets, alert manager and/or other appropriate personnel of any obstacles or potential delays, and provide corrective action recommendations.
      • Assist to plan and coordinate activities for a designated project to verify that the goals and objectives of the project are accomplished within the prescribed time frame and funding parameters.
      • Coordinate project requirements, milestones, and deliverables.
      • Records Management:
      • Maintain filing system(s), files, emails, and records in accordance with compliance requirements. File and disperse documents/letters only to appropriate personnel. Maintain all official records in accordance with the Information Governance and Lifecycle Management (IGLM) and Information Security (INFOSEC) standards and procedures. Validate official records are accurately maintained for auditing purposes.
      • Provide records maintenance within SharePoint, including physical and electronic official files, retention, and conformance.
      • Utilize SharePoint features to keep the program site current by investigating new ways to create program efficiencies.
      • Utilize existing SharePoint filing system to confirm standard project documentation is up-to-date to perform data tracking.
      • Maintain and provide recommendations for new SharePoint Lists and Tools.
      • Establish, maintain, and administer SharePoint organization, team, and another meeting/project sites including setting up document repositories, calendars, workspaces, and tracking lists.
      • SharePoint Expertise:
      • Create complex document library and project site structures in SharePoint.
      • Maintain sites, and documents, and assist with permitting/revoking permissions per established procedures and manager guidance.
      • Provide advanced skills in SharePoint best practices, design features, and functionality to optimize existing SharePoint sites and libraries.
      • Provide SharePoint assistance and training to less experienced staff.
      • Change management support:
      • Facilitate the change management of assigned projects from inception to conclusion and in accordance with PMI-based methodology, industry standards, best practices, and internal skill development.
      • Support projects via developing change management and communication materials and coordinating project change management activities.
      • Assist the manager or product or project manager in building and coordinating an effective team and provide recommendations for allocating team members to project tasks. Assist in facilitating the team process, the interpersonal process by which individuals develop as a team. Requirements:Education and Corresponding Experience (required on matrix):
        • Bachelor's Degree is highly desired.
        • Level 2:
        • 5 years of experience is required with a Bachelor's Degree.
        • 7 years of experience is required with an Associate's Degree.
        • 9 years of experience is required without a Degree.
        • 4 years of experience in project coordination/control capacity, including all aspects of process development and execution, including the project management lifecycle, tracking, and monitoring project progress, meeting coordination and facilitation and eliciting user requirements. Required Technical Skills and Experience (required on matrix):
          • 4 years of change management experience, developing communications and other change management and user materials (e.g., process flows, swim-lane and procedure documents, change communications, user tips, and tricks, user training documents, etc.).
          • Advanced SharePoint experience sufficient to: create a complex library and site structures; set up document repositories, calendars, workspaces, and tracking lists; use of any advanced functionality.
          • Experience with Visio, PowerPoint, Excel, Word, and other presentation applications.
          • Exceptional writing skills, including proofreading, grammar, adhering to a communication style/voice, etc.
          • Experience organizing and analyzing detailed information and presenting it in a variety of formats for business, executive, and technical audiences. Preferred Skills and Experience (optional on matrix):
            • Change Management Professional designation
            • Experience with the Prosci methodology for Change Management
            • Experience and skill in the following areas:
            • Development of project schedule timelines, to reflect major tasks (Planning, design, procurement, testing, etc.) as required to complete a project.
            • Successfully coordinating multiple projects simultaneously as a program.
            • Advanced meeting facilitation skills; and, the knowledge and experience implementing business continuity capabilities.
            • Proven ability to work with a diverse group across business units to elicit both technical and business process requirements.
            • Accurately assessing and estimating project costs. Additional Requirements (not required on matrix):
              • A valid U.S. Driver's License is required. Other Position Considerations:
                • This position will be eligible for regular telework. The in-office requirement is currently 2 days per two-week pay period. See Note below.
                  Training Expectations:
                  • The worker is expected to keep current on the latest technologies and skills required for the position.
