OverviewThe Accounts Receivable Specialist is responsible for ensuring the efficient, timely, and accurate recording of all payments on client accounts. This position will provide exceptional customer service to our clients while working to attain the positive cash flow goals of the company. This position will also support the operations needs for invoicing, sales tax reporting, and other workflow processes as assigned.About JR MeritJR Merit was founded in 1997 on the belief that merit -the quality of being good and worthy-was something worth working for. We take pride in being a union shop with a passion for surpassing client expectations.Responsibilities Assist new clients through the credit application process and conduct a risk evaluation to establish credit limits and payment terms. Prepare client checks and payments for deposit to checking account. Follow established procedures for processing and posting cash receipts to ensurepayments are applied accurately to invoices and projects. Process and post all approved adjustments. Generate and review aging analysis for compliance with payment terms. Perform account reconciliations and send statements to clients on a monthly basis. Communicate with clients via phone, email, and mail to investigate and resolve any reconciliation issues, and follow up on payment status requests. Maintain all accounts receivable client files and records.Collections: Monitor client accounts for non-payments, delayed payments, or irregularities. Research and resolve any payment discrepancies. Contact clients to initiate collections per established credit policy procedures.Invoicing: Support and coordinate invoicing efforts with Operations.Additional responsibilities as assigned:Sales Tax/Property Reporting: Collect all required sales tax information monthly, quarterly, and annually in preparation for filing reports. Prepare sales tax calculations and documents, and schedule a final review to ensure accuracy. Submit sales tax payments and reports timely to ensure compliance. Process all applicable system transactions required. Review system sales tax codes and rates for accuracy. Conduct sales tax research and assist operations with establishing new codes and rates as required for new geographic areas and municipalities. Schedule and coordinate a review of all personal property assets. Prepare annual property tax report filing and submit timely to ensure compliance.Operations Support (as needed): Collect insurance certificates and lien notices from clients, vendors, and subcontractors and file appropriately. Project set up review for proper sales tax codes. Reviewing commitments on projects. Subcontract administration including PO s and change orders. Participate in front desk coverage rotation.Qualifications1. Associate s Degree in accounting and/or 3+ years of accounts receivable and general accounting experience.2. 3+ years of experience and knowledge of construction contract terms, including understanding of contract types, pricing, and ability to execute billing, and receivables transactions.3. Intermediate to advanced computer skills, including experience in Microsoft Office Suite, DocuSign and ERP accounting software, Viewpoint Enterprise Cloud and Procore preferred.4. Experience with and understanding of all Federal, State, and Local tax laws and application to invoicing clients in all locations.5. Utilize problem-solving skill and analysis to audit work flow for accuracy and efficiency.6. Ability to work well with others under deadline situations and respond to constantly changing priorities.7. Excellent written and verbal communication skills, organizational skills.8. Ability to work independently, take initiative, set priorities, and see responsibilities through to successful completion.
